How to attach a folder to email from Microsoft Outlook® – The ability to send files through email has been around for quite some time. Microsoft Outlook makes it easy to send files by simply dragging and dropping files into an open email. However, sometimes it’s not enough to be able to send a single file.

If you find yourself regularly sending folders via email, using the Schedule Recurring Email add-in to send folders can be more useful than using Outlook by itself because it automates the process, thus freeing up your time. When PDF Beats ZIP for Attaching and Extracting Files There are many benefits to using for creating all sorts of documents, including forms, eBooks, and user manuals. PDF software allows you to insert images and drawings into the document, encrypt sensitive files, redact confidential information, and even use digital signatures for validation. These are among a few of the features that make PDF software so popular, however, one that not too many people know about is the ability to embed file attachments into the document itself. Attaching the PDF document to an email or saving multiple documents to a portfolio allows you to easily send the files off to someone else. What about ZIP compression? When a file is too large to transfer, people generally rely on file compression to zip the file to make it smaller. Sometimes, they use the same zip file format to send a collection of files or documents to another computer or user. This keeps all of the files together and when they’re unpackaged, or unzipped, the files save to a single folder, making them easy to find. There are issues with the zip file format, though. For one, many email filters block files that have the,zip extension as phishers often use this format to send malicious files to their victims. By blocking these files, security teams hope to keep malware out of users’ email inboxes. Another issue that’s common with zipped files is that the process might cause files to become corrupt. Whenever someone modifies a file, in this case by compressing and then expanding it, there’s a risk of corrupting the file contents and rendering it unusable. Using PDF software instead of ZIP While PDF software doesn’t compress files the way the zip format does, it does provide an alternative to packaging multiple files for transfer. Acting as an envelope, the PDF document can have files attached to it in one of two ways. In Foxit software, select COMMENT > Pin > File and place the cursor where the file should be in the document. An icon that resembles a pushpin will designate to readers that there’s an attachment. This method works well if there’s a description or reference to a certain file that you’ve attached. First, locate the files you need to zip and select them. If you have a Mac, you can either right-click or choose the Action button in your Finder toolbar and select Compress. How much does zipping a file reduce the size?
Some types of files compress better than others. Certain data files, such as text files, picture files in the BMP format, and some text style database files can often be compressed by 90% or more. There are some other types of files, such as program files, that may compress by 50% or so.

- For example, most multimedia files will not compress much, as they already exist in a highly compressed state.
- These file types usually employ efficient techniques to compress the data they contain.

Files that are compressed, as these examples are, usually cannot be compressed more to any significant extent. You would see a similar lack of compression if you zipped some files using maximum compression and then added that Zip file to another Zip file.
This second Zip file would not be substantially smaller than the first one (it may even be slightly larger). Again, this is because the data in the original Zip file is already compressed. Some document files, including those created by Microsoft Office, are actually Zip files with a custom file extension.
There are other file types that don’t compress well. For example, certain types of encrypted data files, such as those used by home finance programs and some spreadsheet products, will not compress very much. If you are using WinZip 21 or later with MP3 files, you can use Best method and compress your MP3 files up to 20% more without loss of fidelity.
- If you are using WinZip 12 or later with JPG files, you can use Best method and compress your JPG files up to 20% more without loss of quality.
- With this setting, WinZip will use MP3 compression and/or Jpeg compression with files of those types and the result will be a Zipx file.
- If you are planning to share these Zip files with others, you should be sure that they are also using WinZip 21 or later to unzip MP3 files and WinZip 12 or later to unzip JPG files.
Again, if you create Zip files and see files that cannot be significantly compressed, it is probably because they already contain compressed data or they are encrypted. If you would like to share a file or some files that do not compress well, you might:
Email photos by zipping and resizing them Use WinZip Express for Explorer to zip your files, upload them to a cloud service, and send a download link by email Email a link to files you’ve already uploaded to a cloud service
